Cookies, in short

This website does not use analytics, tracking, or marketing cookies of any kind, and no data is sent to third-party advertising or analytics providers. The fonts and images on this site are all served directly from our own server — none are loaded from Google or any other third party.

The only cookie used anywhere on this site is a strictly necessary session cookie (CF_AppSession), set by our hosting provider (Cloudflare) only when a Lodge officer signs in to the password-protected admin area to manage booking submissions. It is never set for ordinary visitors browsing the public site, contains no tracking or advertising data, and expires automatically. Because it's strictly necessary for the admin area to function securely, no cookie consent banner is required or shown on this site.

Who we are

What we collect, and why

When you use the booking form for a Lodge meeting, we collect: your surname, first name, Masonic rank, whether you are a member of Caer Caradoc Lodge (and, if not, your own Lodge's name and number), whether you are attending, any apologies given, whether you intend to dine and any dietary requirements, your chosen payment method, and your email address.

This information is used solely to plan catering numbers and manage attendance for the specific meeting you are booking for. We do not use it for marketing, and we do not sell or share it with anyone outside the processors listed below.

Dietary requirements are collected only where given voluntarily, and are used only to plan catering — they are not analysed, profiled, or shared beyond that purpose.

How long we keep it

Booking records are deleted no later than approximately three months after the meeting date, either manually by the Lodge Secretary or automatically by a scheduled process. If you would like your submission removed sooner, contact the Lodge Secretary and it will be located and deleted promptly — all booking data sits in a single, searchable record, so this is a simple request to fulfil.

Who processes this data on our behalf

We use two service providers (data processors) to run this website and process bookings:

  • Cloudflare — hosts this website and the database that stores booking submissions, and provides the secure sign-in used to protect the admin area.
  • Brevo — sends the email notification to the Lodge when a booking is submitted, and the confirmation email sent back to you.

Both act under their own standard data processing agreements.

Access to booking data

Booking submissions are only visible to signed-in Lodge officers, via a password-protected admin page. Every time this page is accessed, the officer's email address and the time of access are recorded in our own permanent log, so there is always a clear record of who has viewed booking data and when.

Your rights

Under UK data protection law, you have the right to ask what information we hold about you, to have inaccurate information corrected, and to have your information deleted. To exercise any of these rights, contact the Lodge Secretary at secretary@caercaradoclodge.org.uk.

Changes to this policy

If this policy changes, the updated version will be posted on this page with a new "last updated" date above.
